Facility management – Administrative operation

Operations secured in administrative area of facility management:

  • Management of the record of the owners, update of all data.

  • Management of the facility evidence (building, apartments and commercial facilities) via electronical system IPartner

  • Preparation of the recipes for owners´ deposits for the payment of the services connected with the using of apartments and non-residential facilities, provided till the end of January, based on the rules accepted by the Association of the owners (AoO).

  • Management of the evidence of late payments and notice of the debts according to the instructions and regulations accepted by AoO.

  • Preparation of the data for prosecuting of the debts after the deadline. Costs connected with the court prosecution paid from AoO funds.

  • Preparation of the data (incl. preparation of the payment data) for deposits payment to the service providers connected with the house operation, based on the actual rates and inflation, always with the agreement of the AoO

  • In case the manager of the house entitled by AoO, is also authorized to perform payments of the standard costs connected with the house operation directly from the bank account of AoO, according to the instructions and regulations of AoO.

  • Performance of the statement of deposits (once per year) for energy and other services.

  • Monitoring of the deposit payments, administration of the due debts and informing of the AoO board about the debts according to the approved rules.

  • Monitoring of the evidence of all contracted amounts for provided services, connected with the using of the residential and non-residentials properties, incl. payments of all owners

  • Statement of the deposits for provided services connected with the using of apartments and non-residential properties, incl. statement of over- and underpayments once per year (latest 4 months after the end of callendar year), after the approval of the statement by the board of AoO. The way of statement of each section is controlled by instructions and regulations of AoO, as well as handling of the over- and underpayments.

  • Monitoring of the validity of the signed supplier´s contracts. Signing of the new contracts according to the rules of AoO board.

  • Submission of the report about the activities, incl. results of the financial management, overview about the status of the common parts of the property and land and all other important facts connected with the facility management

  • On the request of AoO board call of the association meeting, attendance at the meeting and arrangement of the record about the meeting and accepted decisions.

  • Management of the correspondence evidence.

  • AoO web page administration and locating of all important documents (statutes, records from board meetings, invitations to the meetings etc) and other documentation according to the instructions of the board of AoO.

  • Securing of the subtraction of measuring instruments.

  • Securing of the contract with insurance company and police for the settlement of the insurance incidents.

  • Permition to the board of AoO to control the operative evidence, anytime asked for.

  • Securing of the basic basic law consultancy for the needs of AoO.
